Donations & Site Policies
Short, plain-language policies for donations, event registrations and this website. Questions about any of it? Just ask us.
What You Receive & How Funds Reach Us
A donation is not a product shipment, so here is plainly what it does and doesn’t include. You receive an emailed receipt and, where you ask for it, a summary of how your gift was used. You do not receive goods, merchandise or a physical item.
Funds are held by Sports for Impact Africa and spent on the programme areas listed on our Impact page. We do not pass your gift to a third party, and we do not take a commission on donations. Event fees cover that specific event’s costs, such as permits, medical cover, kit and volunteer coordination.
Programme areas and the split between them are confirmed in our annual Impact Report, rather than estimated on a marketing page. If a funded activity is cancelled, affected donors are contacted directly with the option of a refund or a transfer to the next event.
Payments & Receipts
All online payments (donations and event registrations) are processed through Paystack, our payment provider. We never see or store your card details — Paystack handles them securely.
Our payment provider emails a receipt for each payment. If it does not arrive within a few minutes, check your spam folder, then email hello@s4ia.co.ke and we will send the payment details and a receipt by hand.
Privacy
The information you give us (name, email, phone, event selections, kit choices, and any medical information you choose to share) is used to process your registration or donation and to send the operational emails that go with it — your receipt, the runner’s guide, race-day instructions. We don’t sell your data, and we don’t share it except where needed to run this site, for example with our payment provider.
Race registration is not a marketing opt-in
Registering for a race does not put you on a mailing list. Race emails are transactional: they are part of the service you paid for. We have a separate, unticked box for occasional news about future events, and we will only email you about those if you tick it. You can unsubscribe at any time.
Who can see your information
- Our team — the people running the event, who need your name and contact details to issue a bib and run the event safely.
- Our payment provider — to process a payment. They receive the payment details; they do not receive your medical information or your marketing preferences.
- Event partners — where a partner is delivering something you signed up for (for example kit collection), we share only what they need to do that.
- Nobody else. We do not sell or rent your data, and we do not share it for advertising.
Medical information
If you tell us about a health condition, allergy or injury, we use it for one purpose: to help us keep you safe on the day. Only the event leads and first-aiders see it. It is never shared with sponsors, partners or funders, and we ask every volunteer to treat it as confidential.
How long we keep it
Registration records are kept for as long as we need them to run the event and meet our record-keeping obligations, then deleted. Donation records are kept for the period required for accounting. If you ask us to delete your data we will do so, except where we are legally required to keep it — for example tax records for donations.
Your rights
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. We will not discriminate against you for exercising these rights. Email hello@s4ia.co.ke and a human will answer.
Kenya’s Data Protection Act
This site is operated under Kenya’s Data Protection Act. We are confirming our registration position with the Office of the Data Protection Commissioner and will publish our status here once settled. If we are a registered data controller, our registration number will appear on this page.
Refunds, Transfers & Failed Campaigns
Event tickets: tickets are non-refundable. If you can’t make the event, you may transfer your slot to someone else — email us with the new participant’s details before race week.
Donations: if you believe a donation was made in error, contact us within 14 days and we’ll work with you and our payment provider to correct it. Donations otherwise support the programme work described on the pages where they’re collected.
Participation & Wellbeing
Event participation is at your own pace and own risk. If you’re training or joining race day and have any medical condition, please speak to a health professional first. If you or someone you know needs support right now, please reach out to a trusted person or a local crisis line — you matter.
What we ask you to agree to at registration
Registering for an SFIA event means confirming that the personal and emergency details you give us are accurate, and accepting that you take part at your own risk on a course run on public roads. You are responsible for your own fitness to complete the distance you enter.
We ask for an emergency contact and, optionally, any injuries or medical conditions our marshals and medical crew should know about. That information goes only to the event team handling safety on the day, and we delete it after the event debrief. If you would prefer not to provide medical notes, you can still enter — just leave that field blank.
If you consent to appearing in event photos and media, that is recorded separately on the registration form. Declining it has no effect on your entry. You can ask us to remove your image from anything we publish by emailing hello@s4ia.co.ke.
This summary is written in plain language for the website. It is not a substitute for a formal indemnity, which SFIA will issue for each event before race day.
Event Operating Documents
These are the documents an established race operation publishes. They are written in plain language and have not yet been reviewed by a lawyer — treat them as a working draft, not as a reviewed legal instrument.
- Race rules and withdrawal policy — The rules that apply on race day, and how to withdraw safely.
- Photography, video and media consent — How we capture race day, and how to opt out or ask us to delete an image.
- Refund and transfer policy — Tickets are non-refundable, but you can hand your place to someone else.
- Medical provision and safety on the course — What is on course, what is not, and what we ask of you.
Race rules and withdrawal policy
These rules exist so the event is fair and safe for everyone taking part, not to create a legal trap. Breaking them may mean you are asked to leave the course.
Before you start
- Arrive during your designated start window. The start may be held or staggered so the course is not overcrowded.
- Your bib is your identity on the course. Do not swap it with anyone.
- If you are unwell, pregnant, recovering from injury, or have a condition your doctor has advised you to be careful about, please speak to a health professional before you take part. Tell the registration desk on race morning if it helps us look after you.
On the course
- Run or walk on the right where the course allows, and obey marshals and the instruction of race officials at all times.
- Support a fellow participant who is struggling. If someone needs help, stop and call the number on your bib or the nearest marshal.
- Do not leave the marked course.
- No vehicles, cycles or motorbikes on the course at any time.
Timing and results
The 5K, 10K and 21K are chip-timed. The Community Walk is not timed, because it is not a race. Chips are removed at the finish so results can be reconciled against your bib.
Withdrawing during the event
If you need to stop, move off the racing line, tell the nearest marshal, and they will arrange help and safe collection. Do not attempt to get back to the finish unaided if you are unwell.
Photography, video and media consent
Race day is photographed and filmed. Images are used to report on the event, to show our partners and funders what their support made possible, and for our own archive. We do not use images to imply that an individual endorses a product or organisation.
What you are agreeing to
By taking part you agree that SFIA may photograph and film you in the course of the event, and may use those images for reporting, promotion and partnership communication described above.
Opting out
Tell any member of staff at registration or at the start line that you do not wish to be photographed. We will note it, and our photographers will avoid you. Wearing a clearly visible 'no photos' marker works too, if you would rather not have to ask.
If you want an image removed
Email us with the event name and, if you can, a link to the image. We will remove it from published material where we can, and tell you what we were able to do.
Refund and transfer policy
We are a community organisation running on a tight budget. Cancellations close places we could have given to someone else, so tickets are non-refundable. What we can do is let you pass your place on, which keeps the place and the funds in play.
Transfers
- You may transfer your place to another person at no charge.
- Email us the original participant's name and the new participant's full name, email and phone number before race week, so kit and timing records match.
- The new participant takes on this registration, including the participation agreement.
Cancellations by us
If we cancel or postpone the event, you will be told by email as early as possible. Where we cancel, we will offer you the choice of a full refund or a transfer of your entry to the rescheduled date.
Events cancelled by weather or public authority
If conditions make the event unsafe or authorities restrict it, we will communicate the decision and the same refund-or-transfer options apply. Safety always takes priority over keeping the event date.
Medical provision and safety on the course
We plan for a safe event. We are not a clinical service, and we want to be precise about what we can and cannot do.
What we provide
- First-aid posts at the start, at points along the course and at the finish.
- Trained first-aiders and event marshals wearing identifiable vests.
- Access to emergency medical services if someone needs to be moved to hospital.
What we ask of you
- Only take part if you are reasonably fit to cover the distance you have entered.
- Carry water. We provide refreshments at the finish, not a full hydration station on the course.
- Wear the race kit we issue, so marshals can identify participants and locate anyone in difficulty.
- Tell us at registration about any condition relevant to your safety. We ask for medical information for exactly that reason, and it is handled more carefully than any other part of your registration.
What we cannot do
We cannot provide medical advice, diagnosis or treatment, and we cannot accept responsibility for a condition that was not declared. If you are unsure, speak to a doctor before race week rather than after it.
Emergency and mental health support
If you need support during the event, ask any marshal or the registration desk. Outside the event, the crisis support details are published on every page of this site.
About This Site

This site is built and maintained in-house. Headline figures shown across this site reflect our event and programme activity, and are marked "unverified" wherever we have not yet reconciled them against source records.
